KEY TAKEAWAYS

  • AI alone does not guarantee reliable intelligence monitoring: it can forget or invent information.
  • A documentary archive centralizes the key sources for complete, relevant intelligence monitoring.
  • An effective search strategy ensures exhaustive results while limiting noise.
  • A documentary archive must be continuously updated to keep up with market and innovation developments.

How do you build a documentary archive? What an odd question! Especially at a time when chatbots and generative AI would have us believe that it has never been so easy to find the information useful for steering your innovation strategy. And yet, the risk of missing a key piece of information has never been higher.

And magically generative AIs don’t work miracles. Without even mentioning hallucinations, at TKM we observe that a search on one or another of the major models (we test them all, although we do have a preference for Mistral… and that will in fact be the subject of an upcoming article!) only brings back a small fraction of the useful information.

Skeptical? Cécile is a construction engineer working for a large corporation with which she has already filed 6 patents. During a recent search on her favorite topic (additives for adhesives and cements), and despite several attempts, only two of her patents “surfaced”…

In the context of another monitoring project, the “chatbot” brought us back a scientific article that looked extremely relevant (complete with the university, the authors… and even a DOI!). We checked immediately, and the article did not exist…

DOI: short for Digital Object Identifier, a unique, permanent and verifiable identifier assigned to a digital publication to ensure its traceability and lasting access.

Generative AI provides many useful services, and
it is built into our software platform, but it cannot reasonably be enough on its own to feed solid, methodical intelligence monitoring.

In this context, carrying out a state of the art, a competitive study, or monitoring your technological and industrial environment therefore depends above all on your ability (or that of your team in charge of intelligence monitoring) to collect all the information that could potentially be useful to your decisions.

In other words: building an exhaustive, relevant documentary archive, based on one (or, more often, several) search strategy.

Furthermore, thanks to this archive, once the monitoring team has carried out its analyses, R&D or IP (industrial property) analysts will be able to export, comment on and share a particularly interesting and inspiring patent, thesis or collaborative project. But to do that, it first has to have been collected.

The purpose of this article is to share a few tips and tricks drawn from more than 20 years of TKM’s experience serving intelligence monitoring for companies of every size (SMEs, mid-caps, start-ups and large groups).

Building a complete and relevant documentary archive

Building a useful, effective documentary archive is one of the first steps of intelligence monitoring, and its cornerstone. Not only must it be:

  • exhaustive (collecting everything that could potentially be relevant),
  • while limiting noise (what we ultimately accept as irrelevant documents that can’t be filtered out at the search-strategy stage),
  • and above all spending the time needed, and no more, with the greatest effort reserved for analysis, exploitation, dissemination and collective, strategic enrichment.

The
TKM platform offers a smooth, integrated process that makes collection easier (“Data Lake” module), enriches the raw data (“Projects” module) and leaves maximum room and functionality for analysis (“Analysis” module), sharing and capitalization (“Watches” module). But let’s start at the beginning.

What is a documentary archive ?

A documentary archive brings together all the documents, data and information sources gathered on a topic of interest (a technological field or an industrial sector).

This organized collection gives companies and teams of analysts a reliable, relevant knowledge base to feed their organization’s strategic steering.

More than a simple accumulation of documents, a well-structured documentary archive provides fast access to verified, enriched, organized information ready to be analyzed by expert teams (IP, R&D, Innovation or strategic marketing).

The importance of the documentary archive

In today’s context of information overload, where information is abundant but not always of good quality, having a complete, structured documentary archive becomes a strategic asset.

It lets you:

  • Centralize knowledge from various sources.
  • Filter and enrich raw information.
  • Capitalize on this information.
Information overload (infobesity) refers to the overload of available information, whose volume often exceeds our capacity to process it and hinders the identification of genuinely relevant content.

Building a documentary archive : a major challenge

Creating and managing a documentary archive is a major challenge, particularly because of the diversity of information sources (specialized databases, websites, scientific publications, patents, etc.) and the need to constantly update the data collected.

Moreover, the process of collecting, organizing and analyzing information requires a considerable investment of time, not to mention the specific skills needed to distinguish relevant information from superfluous data.

The steps for building a documentary archive

Building a documentary archive requires developing a clear, formalized search and collection strategy, directly tied to the strategic question (or questions) the intelligence monitoring is meant to answer.

A search strategy is the structured method (keywords, sources, operators, filters) put in place to exhaustively and relevantly collect the information needed for intelligence monitoring.

This is a process made up of several key steps, each requiring care and method. Here is a guide to navigating these steps and building a structured, relevant documentary archive.

1. Determine the search scope

The first step is to clearly define the subject of your intelligence monitoring. This means specifying the field to investigate, the specific questions you want to answer, and the goals of your research. This essential step lets you target subsequent searches more effectively and avoid collecting superfluous information.

2. Select the relevant sources

Not all information sources are equal. And a single information source is rarely enough. That is in fact why, since its founding in 2004, TKM has always prioritized the ability to collect and analyze a very wide variety of information sources in developing its software platform: patents, scientific publications, the web, theses, conferences, collaborative projects, start-ups…

It is therefore essential to identify the most relevant ones before embarking on a state-of-the-art study or configuring periodic intelligence monitoring. Some databases are free, others are paid. Costs can quickly become a limiting factor. That’s why TKM also offers privileged access to its own Data Lake, a global database of patents, scientific articles, projects and start-ups.

Once the search scope is known and the sources identified, it’s time to list the keywords that will enable exhaustive, relevant collection. Each database has its own “grammar”, and it’s worth getting to know it.

However, in most cases Boolean operators (AND, OR, NOT), truncation operators, or even proximity operators (NEAR, W..) will help you refine sets of keywords that combine effectiveness and exhaustiveness. Ideally, you should tend to keep a bit of noise (10 to 15%) rather than risk missing useful information.

But if this exercise becomes complicated, at TKM our team of analysts, made up exclusively of top-level scientists, has developed genuine expertise on the subject over the years.

4. Organize and index the documents

Nowadays, whatever the subject, collection usually results in a substantial volume of documents (anywhere from several hundred to several thousand, or even tens of thousands). To begin with, and before the analysis phase, a careful curation, enrichment and organization phase is essential.

This can involve adding useful metadata, extracting named entities relevant to your research, or standardizing affiliations (organization names) and semantically indexing the documents.

Then, setting up a classification system, or tags or a selection process, will be useful for making later searches easier: your own, but also those of the client teams down the line — management, R&D, IP, innovation, corporate venture, etc.

5. Extract useful information

Simply collecting information is not enough. But if your documentary archive contains several hundred documents, you probably won’t want to read all of them… and in fact that’s not even desirable.

Semantic segmentation, search, weak-signal detection and “outlier”-detection tools will be extremely useful for:

  • confirming your view of the field (what you already knew),
  • but also detecting weak signals (an emerging technology, a start-up, a new patent, a competitor’s strategic pivot…).

So by segmenting your documentary archive, and without having to read everything, you can, within a few hours, build strategic intelligence on the subject, launch an internal collective-intelligence effort and so feed your organization’s strategic steering.

And in the end, a few particularly inspiring or strategic documents (opportunity or threat) will warrant in-depth reading.

The purpose of the documentary archive is to let you address your strategic question at the overall level while still being able to move back and forth to individual documents.

The strategic intelligence you then build takes on a different dimension, and never leaves your internal stakeholders or your management indifferent. The goal is indeed to turn raw data into knowledge that is useful for decision-making.

A documentary archive is a living tool that may need constant updating and enrichment to stay relevant. Even in the case of a one-off monitoring project (mapping, state of the art, landscaping…), it’s quite common for the decision to be made to turn it into periodic monitoring.

The pace of these updates will depend on the strategic intensity of the question, but also on how fast the field is moving technologically. So monitoring on AI or cosmetics requires at least monthly updates, given the volume of knowledge produced by research and industry players.

For this reason, among others, it is essential to keep a precise, formal record of the search strategies used.

And then to apply them regularly to the various sources, unless you have access to a global documentary archive such as TKM’s “Data Lake”, through which updates can be easily automated.

You will also need to run the new data through the various steps just outlined in this article. This work can prove tedious and can quickly turn into a nightmare for the analyst doing the monitoring. But some tools can save you precious time.
